CAOT will be hosting a hybrid conference in Halifax with close to 175 presentations, CAOT is looking for volunteers in many capacities.  

In appreciation for your volunteer role, CAOT will provide a half day registration for every half day you volunteer. While on-site, you will be provided a keepsake volunteer t-shirt and food & beverage for the day you volunteer. You will also have access to all recorded sessions on the days you volunteer. 

Job descriptions:

Monitor 

The primary responsibility of a monitor is to ensure only delegates with an appropriate name badge are admitted into the room.

  1. Provide 5-minute and 1-minute warnings to the speaker(s). Ensure that the session is kept on schedule and advise presenter if necessary. Paper presentations are allotted 20 minutes for presentation plus 5 minutes for questions. Extended discussions are allowed 55 minutes total for presentation, group discussion or learning experience and questions.

  2. Assist CAOT Staff room moderator when required.
Only volunteers who speak French will be assigned to French presentations.

Registration desk

The primary responsibility of a volunteer at the registration desk is to assist CAOT staff. There will be a minimum of one CAOT staff member at the registration desk at all times.

  1. Hand out badges and delegate bags to registered delegates.

  2. Provide information and give directions when necessary.

Volunteers will not be required to handle on-site registration. CAOT staff will register and take payment for anyone wishing to register on-site.

Bilingual preferred.


Speaker’s ready room

The primary responsibility of a volunteer in the speaker’s ready room is to assist presenters testing their presentations.

  1. It is important that if you are volunteering for this role, that you have a good understanding of computers and how LCD projectors work.

  2. Most presenters will be familiar with the equipment, but it is the volunteer’s role to assist them if they have difficulties. If your are unable to solve the problem, you will contact the in-house av technicians for support. 

Tech savvy preferred.


Poster monitor

The primary responsibility of a volunteer for the poster board area is to check names badges going into the room and offer tech support to presenters.

  1. Assist presenters/attendees in locating posters.

  2. Help presenters with any technical issues. If your are unable to solve the problem, you will contact the in-house av technicians for support.  

Tech savvy preferred.
